VapiCon 2026 Terms and Conditions

Please read these Terms and Conditions carefully. They form a binding agreement between you and Vapi Inc. By registering for, purchasing a pass to, or attending or participating in VapiCon 2026 in any capacity, you agree to be bound by these Terms. If you do not agree, do not register and do not attend.
These Terms include a Code of Conduct at Section 10, a release and assumption of risk at Section 20, a limitation of liability at Section 22, and an indemnity at Section 23. All ticket sales are final and non-refundable, as described in Section 7.
1.Scope and Acceptance
1.1.These Terms and Conditions (these "Terms") govern registration for, purchase of a pass to, and attendance at or participation in VapiCon 2026, including all keynotes, sessions, breakouts, workshops, demonstration areas, expo and sponsor spaces, receptions, afterparties, side events, and any online or hybrid component (collectively, the "Event"). The Event is scheduled for November 11 and 12, 2026 at the Festival Pavilion at Fort Mason Center, 2 Marina Boulevard, San Francisco, California 94123 (the "Venue").
1.2.You accept these Terms by any of the following: (a) checking a box or clicking a button indicating acceptance during registration; (b) submitting a registration or purchasing a pass; or (c) attending or participating in the Event. Submission of a registration is treated as your affirmation that you have read, understood, and accepted these Terms.
1.3.The VapiCon 2026 Privacy Policy, available at vapicon.ai/privacy, is incorporated into these Terms by reference and forms part of your agreement with us.
1.4.If you register or purchase passes on behalf of another person or on behalf of an organization, you represent that you have authority to bind that person or organization to these Terms, and you are responsible for ensuring that each person who attends under your registration receives and agrees to these Terms. A recipient's failure to review or agree to these Terms is not a basis for a refund.
2.Who We Are
2.1.The Event is organized by Vapi Inc. ("Vapi," "Organizer," "we," "us," or "our"). References to "VapiCon," "VapiCon 2026," or the "Event" in these Terms also include Vapi Inc.
2.2.The Event is produced on our behalf by Montgomery Entertainment, LLC (the "Producer"). The Venue is operated by Fort Mason Center for Arts and Culture and its affiliates and licensors (the "Venue Operator").
2.3.In these Terms, "Event Parties" means Vapi Inc. and its affiliates, the Producer, the Venue Operator, and each of their respective officers, directors, members, managers, employees, agents, contractors, volunteers, staff, sponsors, exhibitors, speakers, licensors, successors, and assigns. Each Event Party is an intended third party beneficiary of the releases, disclaimers, limitations of liability, and indemnities in these Terms and may enforce them directly.
3.Who These Terms Apply To
3.1.These Terms apply to every person who registers for, is present at, or participates in the Event, including attendees, speakers, panelists, workshop instructors, sponsors, exhibitors and their personnel, media and press, volunteers, contractors, guests, and invitees. References in these Terms to "you," "attendee," or "participant" include all of the foregoing.
3.2.Sponsors, exhibitors, speakers, and media may also be subject to separate written agreements with us. In the event of a conflict between such an agreement and these Terms, the separate agreement controls solely as to the subject matter it addresses, and these Terms otherwise remain in full force.
4.Registration and Eligibility
4.1.Registration and Confirmation
Your registration is an offer to attend. A binding agreement is formed only when we send a registration confirmation to the email address you provide. We may reject, cancel, or terminate any registration at any time in our sole discretion, including where we believe a registration is fraudulent, duplicative, made under a false identity, made by or for a competitor for the purpose of disrupting or improperly gathering information at the Event, or made in violation of these Terms. If we reject or cancel a registration for reasons other than your breach of these Terms, we will refund the registration fee actually paid to us.
4.2.Age Requirement
You must be at least 18 years of age to register for or attend the Event. Persons under 18 are not permitted at the Venue or at any Event activity, including the expo floor, receptions, and afterparties, except with our advance written approval. Alcohol will be served at certain Event activities and may only be consumed by persons who are at least 21 years of age and who present valid government-issued photo identification on request. You may be required to present government-issued photo identification for age verification at any time.
4.3.Accurate Information and Real Identity
You must register using your real legal name, your actual employer, and a valid email address, and you must keep this information accurate. Badges and access credentials are issued to a named individual on presentation of valid government-issued photo identification. Registering under a false identity, misrepresenting your employer or role, or using another person's registration is a material breach of these Terms.
4.4.Right to Refuse or Revoke Access
We reserve the right, at any time, with or without prior notice, and in our sole discretion, to refuse admission to, remove from, or revoke the credentials of any person, and to refuse to provide any person with access to Event materials. Where access is refused or revoked because of a breach of these Terms, including the Code of Conduct at Section 10, no refund, credit, or other compensation will be issued.
4.5.Export Control and Sanctions
You represent that you are not located in, ordinarily resident in, or organized under the laws of any country or territory subject to comprehensive United States sanctions, and that you are not identified on any United States government list of restricted or prohibited parties, including the Specially Designated Nationals and Blocked Persons List and the Entity List. You will not use your attendance at the Event, or any technical information made available at the Event, in violation of United States export control or sanctions laws.
4.6.Government Personnel and Public Sector Attendees
If you are an employee, officer, or representative of a government entity, public sector organization, or state-owned enterprise, you must identify yourself as such during registration. You are responsible for complying with all rules applicable to you regarding gifts, meals, entertainment, travel, and items of value, including any obligation to disclose your attendance to, and obtain approval from, your employer. If you are offered a complimentary or discounted pass and the rules that apply to you do not permit you to accept it, you must notify us and pay the applicable fee. You must confirm your compliance with this Section on our request.
5.Fees, Payment, and Taxes
5.1.Registration fees, add-on fees, and any other charges will be presented to you at the time of purchase. Prices are stated in United States dollars and are subject to change at any time before purchase. Fees are exclusive of any applicable sales, use, value added, or similar taxes, which will be added where required and are your responsibility.
5.2.Payment is processed by our third party payment processor. You represent and warrant that you are authorized to use the payment method you provide and that the information you supply in connection with the transaction is accurate and complete. We may require verification of your information before accepting or completing a transaction.
5.3.You are responsible for all fees, charges, and taxes incurred by you or by anyone using your registration, at the prices in effect when the charge is incurred. We may cancel, modify, or discontinue any discount, promotion, promotional code, or group rate at any time without prior notice. Discount and promotional codes have no cash value, may not be combined unless expressly stated, and may not be applied retroactively.
5.4.You are solely responsible for your own travel, lodging, meals not provided at the Event, insurance, visa, and all other expenses incurred in connection with the Event, whether or not you attend and whether or not the Event proceeds as scheduled.
6.Badges and Event Access
6.1.Badges must be picked up in person at the on-site registration desk on presentation of valid government-issued photo identification, and will be issued only to the individual named on the registration. You will not be admitted to the Venue without a valid Event badge.
6.2.You must wear your badge visibly and legibly at all times while at the Venue and at any Event activity. Badges and access credentials are personal to you and may not be shared, lent, exchanged, sold, duplicated, altered, or transferred to any other person except as expressly permitted under Section 7.2.
6.3.Possessing, creating, aiding in the creation of, or distributing counterfeit badges or credentials is prohibited and may result in removal without refund and referral to law enforcement.
6.4.We are not responsible for replacing lost or stolen badges and may decline or be unable to issue a replacement. Report a lost or stolen badge to Event staff immediately.
6.5.Certain sessions, workshops, and activities have limited capacity and are available on a first come, first served basis or by advance enrollment. Purchase of a pass does not guarantee admission to any particular session, workshop, or activity. No refund, credit, or other compensation will be issued if you are unable to access a session because of capacity limits.
7.Refunds, Transfers, and Cancellation
7.1.All Sales Are Final
All VapiCon ticket sales are final. No refunds will be issued for any reason, including but not limited to scheduling conflicts, travel disruptions, illness, weather, visa or immigration denial or delay, or failure to attend the Event. Failure to check in on site is not a cancellation and does not give rise to a refund, partial refund, or credit.
7.2.Transfers
If you are unable to attend, you may transfer your ticket to another individual at no additional cost, provided that the transfer request is submitted and approved no later than 48 hours before the start of the conference. Transfer requests received less than 48 hours before the Event cannot be accommodated. Transfer requests must be submitted in writing to vapicon@vapi.ai and are effective only when we confirm approval in writing. We reserve the right to verify the identity of the original purchaser and the new attendee before approving a transfer.
It is the responsibility of the person transferring a ticket to ensure that the recipient receives and agrees to these Terms before attending. A transferee's failure to receive or agree to these Terms is not a basis for a refund and does not excuse compliance.
7.3.Non-Transferable Items
Enrollments in workshops, training sessions, breakout sessions, ticketed side events, meal or reception tickets, and any hotel or travel arrangements made through the Event are not transferable and are not refundable, whether or not the underlying pass is transferred.
7.4.No Resale
Passes may not be resold, offered for resale, auctioned, bartered, or transferred for consideration in excess of the price you paid, and may not be used for any advertising, promotion, contest, sweepstakes, or other commercial purpose without our prior written consent. We may void without refund any pass that we reasonably believe has been resold or transferred in violation of this Section.
7.5.Cancellation, Postponement, or Relocation by Organizer
We may relocate, reschedule, postpone, convert to a virtual format, or cancel the Event in whole or in part at any time in our sole discretion. If VapiCon is canceled by the Organizer, registered attendees will be notified of the available options, which may include transferring registration to a future event or other remedies at the Organizer's discretion. If the Event is postponed, rescheduled, relocated, or converted to a virtual format, your registration will carry over to the rescheduled or replacement event and will be considered paid in full for the equivalent pass, and no refund will be issued.
If the Organizer cancels the Event in its entirety and does not hold a rescheduled or replacement event within twelve (12) months of the originally scheduled date, and you have not applied your registration to another Vapi event, we will refund the registration fee actually paid to us. This refund is your sole and exclusive remedy for cancellation of the Event, and we will have no liability for any other cost or expense you incur, including airfare, lodging, ground transportation, or lost time.
8.Program Changes; No Guarantee of Content
8.1.We plan the Event based on information available at the time of scheduling. We may change the Event program at any time and for any reason, including modifying the schedule, format, location, or content of any session, breakout, keynote, workshop, or other activity, or canceling any of them.
8.2.We do not guarantee the attendance or participation of any speaker, panelist, sponsor, exhibitor, or other third party, or that any scheduled session or activity will take place. The cancellation, substitution, or alteration of any speaker, session, or Event content does not entitle you to any refund, credit, or compensation. We will use reasonable efforts to update the Event website and program to reflect changes as soon as practicable.
8.3.We do not endorse, and are not responsible for, any opinion, statement, presentation, demonstration, summary, transcript, recommendation, or claim made by any speaker, sponsor, exhibitor, attendee, or other participant, or generated by any artificial intelligence system used at or in connection with the Event. Such statements are not our advice, opinion, recommendation, or endorsement, and you act on them at your own risk.
9.Voice AI Demonstrations, Workshops, and Interactive Experiences
This Section is specific to VapiCon and should be read carefully. The Event includes live voice artificial intelligence demonstrations and hands-on activities in which your speech will be captured and processed.
9.1.Voice Capture, Recording, and Transcription
The Event includes demonstration areas, sponsor booths, stage demonstrations, workshops, and interactive installations in which you may speak with, or be recorded by, voice artificial intelligence systems operated by us or by sponsors, exhibitors, or other third parties (each, a "Voice Demonstration"). If you participate in a Voice Demonstration, your voice, the audio of your speech, transcripts of that speech, and associated technical metadata such as timestamps, latency measurements, and session identifiers may be captured, recorded, transcribed, processed, stored, analyzed, and displayed, including on screens visible to other attendees and in live or recorded broadcasts of the Event.
By speaking with, or otherwise interacting with, any Voice Demonstration, you knowingly and voluntarily consent to the recording, transcription, processing, storage, and use of your voice and speech as described in this Section and in the VapiCon 2026 Privacy Policy. If you do not wish to have your voice recorded, do not interact with a Voice Demonstration and do not remain within a marked capture area.
9.2.Consent to Recording of Communications
Voice Demonstration areas are marked with signage indicating that audio is being captured. You acknowledge that conversations at, in, or near a Voice Demonstration are not confidential communications, that you have no expectation of privacy in those conversations, and that you consent to their recording by us and by the operator of the Voice Demonstration. This consent is given for purposes of California Penal Code sections 630 through 638 and any comparable law of any other jurisdiction that requires the consent of one or more parties to the recording of a communication.
9.3.No Biometric Identification
We do not use audio captured at the Event to create a voiceprint or other biometric template for the purpose of uniquely identifying you, and we do not use facial recognition at the Event. We do not sell audio captured at the Event. Sponsors and other third parties that operate their own Voice Demonstrations are responsible for their own practices, which are described in Section 9.5.
9.4.Do Not Disclose Sensitive or Confidential Information
Do not speak, type, upload, or otherwise provide to any Voice Demonstration, workshop environment, or Event system any information that is confidential, proprietary, personal to you or to any other individual, subject to a duty of confidentiality, subject to privacy or data protection obligations, or otherwise sensitive, including customer data, health information, financial account information, government identifiers, credentials, or trade secrets. You are solely responsible for anything you disclose. Voice Demonstrations are demonstration environments and are not intended or suitable for the processing of production, regulated, or sensitive data.
9.5.Sponsor and Third Party Demonstrations
Sponsors, exhibitors, and other third parties operate their own demonstrations, booths, applications, and data collection at the Event and act as independent controllers or businesses with respect to any information they collect. We do not control and are not responsible for their privacy or data practices, their systems, their outputs, or their compliance with law. Before interacting with a third party demonstration or providing information to a third party, review that party's own notices and policies and direct any questions to that party.
9.6.Workshops and Use of the Vapi Platform
Workshops, labs, and hands-on activities may require you to create an account on, or use, the Vapi platform or third party developer platforms. Your use of the Vapi platform is governed by the Vapi Terms of Service and Privacy Policy, available at vapi.ai, and not by these Terms. Your use of any third party platform is governed by that third party's terms. Accounts, credits, and environments provisioned for the Event may be time limited, rate limited, or deleted after the Event without notice, and you are responsible for exporting anything you wish to keep.
Any telephone numbers, endpoints, or calling capabilities made available during a workshop are for demonstration and educational use only. You may not use them to place calls to any person who has not consented to receive them, to conduct any marketing or solicitation campaign, to test against production systems you do not own, or in violation of the Telephone Consumer Protection Act, state telemarketing and call recording laws, or any other applicable law.
9.7.Artificial Intelligence Outputs
Artificial intelligence systems demonstrated at the Event, including speech recognition, speech synthesis, and language models, may produce inaccurate, incomplete, offensive, or misleading output, and may misrecognize or misattribute speech. Output is provided for demonstration purposes only, is not professional, legal, medical, or financial advice, and should not be relied upon. We disclaim all liability arising from any output of any system demonstrated at the Event.
10.VapiCon 2026 Code of Conduct
This Section 10 is the VapiCon 2026 Code of Conduct and is a binding part of these Terms. It applies to all participants at all Event locations and activities, including keynotes, sessions, workshops, expo and demonstration areas, receptions, afterparties, official side events, sponsor-hosted activities, the Event app, and any online or social channel operated for the Event.
10.1.Our Commitment
We are committed to providing a safe, welcoming, inclusive, and productive environment for everyone at VapiCon, free from discrimination, harassment, and bullying, regardless of race, color, ancestry, national origin, ethnicity, citizenship or immigration status, religion, creed, age, disability, medical condition, pregnancy, sex, gender, gender identity or expression, transgender status, sexual orientation, marital or family status, physical appearance, body size, veteran or military status, socioeconomic status, level of experience, or any other characteristic protected by applicable law. Harassment, discrimination, and bullying in any form will not be tolerated.
10.2.Expected Behavior
All participants are expected to:
Be considerate, respectful, professional, and collaborative in all interactions, in person and online.
Refrain from demeaning, discriminatory, intimidating, or harassing behavior and speech.
Be mindful of your surroundings and of your fellow participants. Alert Event staff if you notice a dangerous situation, a person in distress, or conduct inconsistent with this Code.
Wear your badge visibly at all times while at the Venue and at Event activities.
Follow all instructions of Event staff, security personnel, and Venue Operator personnel.
Comply with all applicable laws and with all rules and policies of the Venue and of any hotel, restaurant, or other location used for an Event activity.
Remember that portions of the Venue and surrounding areas are shared with members of the public, and conduct yourself accordingly
10. 3. Unacceptable Behavior
Unacceptable behavior includes, but is not limited to:Harassment or discrimination, meaning any verbal, physical, written, or visual conduct directed at or based on a characteristic listed in Section 10.1, including offensive comments, slurs, jokes, name calling, exclusion, and bullying.
Unwelcome sexual attention or advances, inappropriate or unwelcome physical contact, and sexually explicit or suggestive language, gestures, images, or conduct.
Use of nudity, sexual imagery, or sexualized language in any public space, presentation, demonstration, booth, slide, giveaway, or promotional material.
Deliberate intimidation, threats, stalking, following, or unwanted photography or recording of any person.
Boisterous, lewd, abusive, or offensive behavior or language, profanity, obscene gestures, or racial, religious, ethnic, or other slurs.
Sustained disruption of any session, talk, demonstration, or other Event activity, including heckling and disruptive use of the microphone during question periods.
Clothing or footwear that is not suitable for a professional environment, or that is unsafe, sexually provocative, or otherwise potentially offensive.
Possession of a weapon or of any item prohibited under Section 11.2.
Destruction, vandalism, defacement, or theft of personal property, Venue property, Event property, or the property of any sponsor or exhibitor.
Possession or consumption of alcohol outside areas designated for that purpose, providing alcohol to any person under 21 years of age, and possession or use of illegal substances.
Sharing your badge or credentials, or possessing, aiding in the creation of, or distributing copies of or counterfeit credentials.
Failure to obey the rules or regulations of the Venue or the instructions of Event staff or security personnel.
Any other illegal activity under applicable local, state, or federal law.
10.4.Solicitation and Data Collection
The following are prohibited and are treated as violations of this Code:
Soliciting contact information from other participants without their explicit, informed consent, including by scanning or photographing another person's badge.
Approaching participants with marketing materials, demonstrations, flyers, surveys, or polls outside a sponsor booth or a sponsored session, unless you are an authorized sponsor or exhibitor acting within your contracted space.
Any promotional, marketing, sales, recruiting, or exhibiting activity at or around the Venue by a person or organization that is not a contracted sponsor or exhibitor, including so-called guerrilla marketing, unauthorized suite or side events represented as part of VapiCon, and distribution of materials in Venue common areas.
Scraping, harvesting, crawling, copying, extracting, compiling, downloading, selling, licensing, distributing, or otherwise using information about VapiCon attendees, speakers, sponsors, exhibitors, or other participants obtained through the Event website, Event app, registration platform, or the Event, whether by automated or manual means, except as expressly authorized by us in writing and in compliance with applicable law.
Using any such information for unsolicited marketing, list brokerage, impersonation, or any misleading or fraudulent purpose.
We do not sell or license attendee lists to any person at any time. If you receive an email offering to sell you a VapiCon attendee list, it is not from us. Check the sender domain and report it to us at vapicon@vapi.ai.
10.5.Reporting a Concern
If you experience or witness a life safety emergency, contact emergency services at 911 first, then notify Event staff so we can assist.
If you experience or witness harassment, discrimination, bullying, or any other conduct inconsistent with this Code, involving yourself or anyone else, report it immediately to any Event staff member, who can be identified by staff badge or shirt, or to Venue security. You may also report a concern in confidence to conduct@vapi.ai. Event staff will help you contact Venue security or local law enforcement, arrange an escort, or otherwise assist you in feeling safe for the duration of the Event. You may request that your report be handled discreetly. We value your attendance and we will take reports seriously.
10.6.Consequences of Unacceptable Behavior
Unacceptable behavior will not be tolerated. Anyone asked to stop unacceptable behavior is expected to comply immediately. If a participant engages in unacceptable behavior, we may take any action we deem appropriate, up to and including a warning, exclusion from any part of the Event, revocation of credentials, expulsion from the Event and the Venue without warning, cancellation of current and future registrations, a ban from future Vapi events, notice to the participant's employer or sponsoring organization, and, where appropriate, involvement of local law enforcement. No refund, credit, or other compensation will be issued to any person removed or excluded under this Section, and you will not be entitled to any damages, including consequential, incidental, or exemplary damages.
Where a sponsor, exhibitor, or their personnel violates this Code, we may in addition close or restrict that party's booth or activity, remove that party's personnel, and decline future sponsorship, in each case without refund of sponsorship or exhibitor fees.
10.7.Non-Negotiable; Reservation of Rights
This Code may be revised by us at any time and its terms are non-negotiable. This Code is without prejudice to our rights, all of which we expressly reserve, and to our obligations under applicable law. Together, we can make VapiCon a safe and welcoming experience for everyone.
11.Health, Safety, and Security
11.1.Security Measures
We may take any action we consider necessary or appropriate for the safety and security of participants, including without prior notice, and we may share your registration and contact information with the Venue Operator, security contractors, medical personnel, and emergency responders as necessary for your safety or the safety of others. You will comply with all security measures, including bag inspection, screening, and credential checks. Compliance with health and safety instructions is a condition of attendance, and refusal to comply may result in removal without refund.
11.2.Prohibited Items
The following items are prohibited at the Venue and at all Event activities:
Weapons of any kind, including firearms, whether or not you hold a concealed carry permit, ammunition, explosives, fireworks, knives and blades regardless of size, replica or paintball weapons, and any object that by alteration or modification would reasonably be recognized as a weapon.
Mace, pepper spray, tasers, stun guns, and similar devices.
Sharp or pointed objects, including razor blades, scissors, and screwdrivers.
Illegal substances and outside alcohol.
Pets and other animals, except licensed service animals, which must remain leashed or harnessed and under the handler's control at all times.
Personal mobility devices, with or without a motor, unless required for accessibility, including skateboards, hoverboards, bicycles, scooters, and similar products.
Cigarettes, cigars, vapes, and e-cigarettes. Smoking and vaping are not permitted inside the Venue.
Drones and other unmanned aircraft. The Venue is located in controlled airspace near the San Francisco Bay and drone operation is strictly prohibited.
Wi-Fi or Bluetooth signal jammers or disruptors, laser pointers, bullhorns, whistles, noisemakers, and voice amplification devices.
Poles and sticks, including selfie sticks. Mobility canes are permitted.
Camera tripods, except for credentialed media, and inflatable items.
Banners, signs, and placards, unless authorized by Event production or security management.
11.3.Illness and Communicable Disease
You attend the Event at your own risk with respect to illness. Please use good judgment about your health and do not attend if you have symptoms of a communicable illness. We follow, and may adopt, government, Venue, and public health guidance, and we may change health and safety requirements at any time and will communicate changes by email or on the Event website. Refusal to comply with Event health and safety requirements may result in removal without refund. We are not liable for any illness contracted or alleged to have been contracted at or in connection with the Event.
11.4.Accessibility
We want the Event to be accessible to all participants. If you require an accommodation, including mobility, hearing, visual, or dietary accommodation, please contact us at vapicon@vapi.ai as far in advance as practicable, and in any event at least fourteen (14) days before the Event, so that we can make reasonable arrangements.
11.5.Food and Allergies
Food and beverages served at the Event are prepared by third party caterers in shared facilities and may contain or come into contact with allergens. If you have a severe food allergy or a specific dietary requirement, you must notify us at vapicon@vapi.ai at least fourteen (14) days before the Event so that we can attempt to accommodate it. We do not assume responsibility for accommodating requirements that have not been communicated to us in advance, and you consume food and beverages at the Event at your own risk.
11.6.Property
We are not responsible for the loss, theft, or damage of any personal property at the Venue or at any Event activity. If you lose something, speak with Event staff before contacting the Venue lost and found.
12.Recording by Us; Likeness Release
12.1.We, and others acting on our behalf, may photograph, film, record audio and video of, livestream, webcast, podcast, or otherwise capture and transmit any or all of the Event, including sessions, keynotes, breakouts, workshops, demonstration areas, expo areas, receptions, and afterparties. Your name, image, likeness, voice, statements, questions, and other identifying characteristics (each, an "Image") may be captured in those recordings (each, a "Recording").
12.2.You grant to us a worldwide, royalty-free, fully paid-up, perpetual, irrevocable, non-exclusive, transferable, and sublicensable (through multiple tiers) license, without further consideration to you or to any third party, to reproduce, distribute, perform, display (publicly or otherwise), create derivative works of, adapt, modify, edit, and otherwise use and exploit any Recording and any Image, in any medium now known or later developed, for marketing, promotional, editorial, community, educational, and any other lawful purpose in the ordinary course of our business.
12.3.You irrevocably waive any right to inspect or approve the use or exploitation of any Recording or any reproduction of it, and you agree that we have no obligation to use any Recording or to exercise any of the rights granted in this Section. You will not be compensated for any use.
In connection with the use or other exploitation of Recordings, including your Images, you irrevocably waive and release any and all claims with respect to intellectual property, rights of publicity, rights of privacy, and any other claims or damages with respect to such use or exploitation. You affirm that you are of legal age and have read and fully understand this release.
12.4.Your Image may appear in Recordings made available to the public, and third parties may retain, use, or distribute those Recordings. Once a Recording is made public, we have no control over, and are not responsible for, any use or misuse of it by any third party.
12.5.If you would prefer not to appear in Recordings, please visit the registration desk on arrival to request an opt-out lanyard, and avoid areas marked as capture areas. We will use reasonable efforts to respect opt-out requests in Recordings we produce, but we cannot guarantee that you will not appear incidentally in crowd or background footage, and we cannot control capture by other attendees, sponsors, or media.
12.6.Because of the prevalence of mobile recording devices and independent media, and because the Event may be attended by documentarians, influencers, journalists, and other media personnel, your name, image, likeness, or voice may be incidentally captured and publicly distributed by third parties. We disclaim all liability for the capture, use, or distribution of your Image by other attendees or third parties.
13.Recording by You; Media Policy
13.1.Attendee Photography and Recording
You may use hand-held cameras and mobile phones to take photographs and short video clips for personal, non-commercial use, provided that doing so is not disruptive and does not obstruct production crews, camera angles, or equipment. Photographs and clips you take may not be published, sold, reproduced, transmitted, distributed, or otherwise commercially exploited in any manner. You may not make a full recording of any session, keynote, workshop, or demonstration.
13.2.Recording Other People
Photographing, filming, or recording another participant at the Venue without that person's explicit permission is prohibited. If you obtain permission and share content from the Event, do so in a way that does not infringe the rights of any participant, sponsor, third party, or us, including through defamation or infringement of intellectual property rights. Where a release or permission is required to protect the rights of a third party, obtaining it is your sole responsibility.
13.3.Automated Notetakers and Recording Agents
Use of automated transcription bots, artificial intelligence notetakers, recording agents, always-on wearable recording devices, and similar tools to capture sessions, demonstrations, or conversations with other participants is prohibited without our prior written approval. This restriction exists to protect the privacy of participants and the confidentiality of unreleased product information.
13.4.Blackout and Closed Sessions
Any session marked "Closed to Recording," and any session featuring a speaker who has opted out of filming, may not be recorded, photographed, livestreamed, or transcribed by any person under any circumstances.
13.5.Registered Media
We welcome accredited media. Professional filming, photography, audio recording, and broadcasting may be conducted only by approved, credentialed media, and all production crews must be registered in advance. Media badges must be displayed at all times. Media may record only from designated zones within approved sessions, and all on-site filming in session rooms must be coordinated in advance with the Event press team. Media must obtain verbal consent from an exhibitor before capturing any media within that exhibitor's booth space, must not obstruct aisles or traffic, and should use designated interview and podcast areas. Filming is prohibited in private meetings, speaker rooms, and VIP areas. We reserve the right to limit or stop any recording activity that disrupts Event operations, infringes participant privacy, or violates these Terms, and failure to follow these protocols may result in revocation of filming permissions. To request advance permission for specific filming needs or to coordinate interviews, contact press@vapi.ai.
13.6.Session Recordings We Make Available
We may make recordings of selected sessions available after the Event. Those recordings are provided for personal viewing by Event participants only. Downloading, redistributing, publicly performing, or creating derivative works from them is not permitted, and we may revoke access for any person who does not comply.
14.Confidentiality, Product Announcements, and Forward-Looking Statements
14.1.The Event may include previews, demonstrations, and announcements of products, features, and roadmap items that have not been publicly released. Unless we state otherwise in writing, information presented in a session that is designated as confidential, embargoed, or under non-disclosure, and any information you receive under a separate written non-disclosure agreement with us, is our confidential information. You will not disclose, publish, or use it except as we expressly permit, and you will observe any stated embargo date and time.
14.2.Statements made at the Event about future products, features, availability, performance, market conditions, or business results are forward-looking statements. They reflect expectations as of the date made, are inherently uncertain, and are subject to risks and assumptions. Actual results may differ materially. Nothing said or shown at the Event is a commitment, promise, or legal obligation to deliver any product, feature, or functionality, and you should not rely on any forward-looking statement in making a purchasing decision. We undertake no obligation to update any forward-looking statement.
15.Sponsors, Exhibitors, and Third Party Services
15.1.Badge scanning and lead retrieval. Your badge may contain a code that, when scanned, transmits your registration information to the party performing the scan. If you allow your badge to be scanned by, or you scan your badge at, a sponsor or exhibitor booth, session, activity, or giveaway, you authorize the operator of that scanner to collect and process that information, and that party may receive a report containing your registration information and your attendance and participation information. Sponsors and exhibitors are independent of us with respect to that information, and we are not responsible for their privacy practices. To learn how a sponsor uses information it collects, contact that sponsor. If you do not wish to permit these uses, do not scan your badge and do not allow your badge to be scanned. Our own collection and use of information about your attendance and participation is described in the VapiCon 2026 Privacy Policy.
15.2.Third party services. Any hotel, travel, transportation, accommodation, ticketing, or other service offered by a third party in connection with the Event, whether or not booked through an Event website or Event app, is provided by that third party under its own terms. We are not a party to, and are not responsible for, any such arrangement, including any cancellation policy or charge. You are responsible for complying with the applicable third party terms.
15.3.Third party materials. The Event website, Event app, and Event materials may contain links to or materials from third parties. We do not control and are not responsible for third party materials, and their inclusion is not an endorsement.
15.4.Event Wi-Fi. Any network provided at the Event is an open, unsecured network. You agree to use it only for lawful purposes, and you acknowledge that the security and privacy of communications and transactions over it cannot be guaranteed. Do not transmit sensitive or confidential information over Event Wi-Fi.
16.Event App and Online Platforms
16.1.We may make available an Event app, an attendee networking platform, a scheduling tool, or other online platform for the Event. Use of any such platform is subject to these Terms and to the terms and privacy policy of the platform provider, which we will identify on the platform or on the Event website.
16.2.You are responsible for the accuracy of any profile information you publish and for any content you post, send, or share through an Event platform. You may not post content that is unlawful, infringing, defamatory, harassing, obscene, misleading, or otherwise in violation of Section 10. We may remove content and suspend or terminate access to any Event platform at any time.
17.Contests, Prizes, and Giveaways
17.1.Contests, challenges, hackathons, raffles, drawings, and giveaways offered at the Event may be subject to separate official rules, which will be made available at the point of entry and which control in the event of a conflict with these Terms.
17.2.Unless the applicable official rules state otherwise, prizes are non-transferable, have no cash value, and may not be substituted or exchanged. Winners are solely responsible for all taxes on the value of any prize and, where required, must provide a completed Form W-9 or equivalent tax documentation before a prize is awarded. We may withhold a prize from any person who does not provide required documentation or who is ineligible under applicable law or under the rules of that person's employer.
17.3.Some prizes and giveaways are offered by sponsors and are provided directly by them under their own terms. We are not responsible for prizes or giveaways offered by sponsors.
18.Intellectual Property
18.1.VapiCon, VapiCon 2026, Vapi, and the associated logos and designs are trademarks of Vapi Inc. All Event content, including session materials, presentations, recordings, program materials, and the Event website and app, is owned by us or by our licensors and is protected by intellectual property laws. Product and brand names of others remain the marks of their respective owners.
18.2.You may not use any Vapi or VapiCon trademark, logo, or brand element without our prior written approval, and you may not represent yourself, your organization, or any event you host as sponsored by, affiliated with, or part of VapiCon without our prior written approval.
18.3.Except for the personal, non-commercial use expressly permitted in Section 13.1 and Section 13.6, you may not copy, reproduce, distribute, publicly display, publicly perform, create derivative works from, or otherwise exploit any Event content.
18.4.Submissions and feedback. If you provide us with any suggestion, idea, feedback, question, comment, or other submission relating to the Event, our products, or our services, whether spoken at a session, submitted through an Event platform, or provided at a booth, you grant us a worldwide, royalty-free, fully paid-up, perpetual, irrevocable, non-exclusive, transferable, and sublicensable license to use, reproduce, modify, distribute, and otherwise exploit it for any purpose, without attribution, compensation, or obligation of confidentiality. You represent that you have the right to grant this license.
19.Privacy
Our collection, use, and disclosure of personal information in connection with the Event is described in the VapiCon 2026 Privacy Policy, available at vapicon.ai/privacy, which is incorporated into these Terms. By registering for and attending the Event, you acknowledge that you have read the VapiCon 2026 Privacy Policy. Where required by applicable law, we will obtain your consent separately.
20.Assumption of Risk and Release
20.1.You acknowledge that attendance at and participation in the Event and any related activity, including travel to and from the Event, receptions, afterparties, and side events, involves inherent risks, including risks of personal injury, illness including communicable illness, property damage, and property loss. To the fullest extent permitted by applicable law, you knowingly and voluntarily assume all such risks, whether known or unknown.
20.2.To the fullest extent permitted by applicable law, you hereby release, waive, discharge, and covenant not to sue the Event Parties from and against any and all claims, demands, expenses, losses, damages, personal injury including loss of life, illness, disability, property damage, and property theft, of any kind, that you may suffer or sustain before, during, or after the Event and that arise out of or relate to your attendance at or participation in the Event.
20.3.This release does not apply to, and nothing in these Terms limits, liability for fraud, willful injury to the person or property of another, gross negligence, or violation of law, or any other liability that may not be limited or released under applicable law, including California Civil Code section 1668. This release is binding on your heirs, executors, administrators, and assigns, and is knowingly given.
21.Disclaimer of Warranties
The Event, all Event content, all Event platforms, and all materials, demonstrations, and services provided at or in connection with the Event are provided "as is" and "as available," without warranty of any kind. To the fullest extent permitted by applicable law, the Event Parties disclaim all warranties, express, implied, and statutory, including any implied warranties of merchantability, fitness for a particular purpose, title, accuracy, and non-infringement. We do not warrant that the Event or any Event platform will be uninterrupted, error free, or secure, or that any particular content, speaker, session, or activity will be provided.
22.Limitation of Liability
22.1.To the fullest extent permitted by applicable law, in no event will any Event Party be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of profits, revenue, business, business opportunity, goodwill, data, or anticipated savings, arising out of or relating to these Terms or the Event, whether in contract, tort including negligence, strict liability, or otherwise, and whether or not the Event Party has been advised of the possibility of such damages.
22.2.To the fullest extent permitted by applicable law, the maximum aggregate liability of all Event Parties for all damages, losses, and causes of action arising out of or relating to these Terms or the Event, whether in contract, tort including negligence, or otherwise, will not exceed the registration fees actually paid by you to and received by us for the Event giving rise to the liability.
22.3.These limitations apply notwithstanding the failure of essential purpose of any limited remedy, and are an essential basis of the bargain between you and us. Some jurisdictions do not allow the exclusion or limitation of certain damages, so some of the above may not apply to you. Nothing in this Section limits liability for fraud, willful injury, gross negligence, violation of law, or any other liability that may not be limited under applicable law.
23.Indemnification
You will indemnify, defend, and hold harmless the Event Parties from and against any and all claims, demands, actions, liabilities, damages, losses, fines, penalties, costs, and expenses, including reasonable attorneys' fees and costs, arising out of or relating to: (a) your breach of these Terms, including the Code of Conduct at Section 10; (b) your negligence, willful misconduct, or violation of law; (c) injury to or death of any person, or damage to or loss of any property, caused by you; (d) any content, statement, submission, or material you provide, post, present, or distribute at or in connection with the Event; (e) your infringement or misappropriation of the intellectual property or other rights of any third party; and (f) your use of any Event platform, Event Wi-Fi, demonstration environment, or third party service in connection with the Event. Should any Event Party be required to incur attorneys' fees and costs to enforce these Terms against you, you will reimburse those fees and costs.
24.Force Majeure
No Event Party will be liable for any delay in or failure of performance, or for any change to or cancellation of the Event, caused by any circumstance beyond its reasonable control, including acts of God, fire, flood, earthquake, severe weather, epidemic or pandemic, public health order or emergency, act of war, terrorism, civil disturbance, labor dispute or strike, power or telecommunications failure, cyberattack, government action or restriction, travel restriction, or unavailability of the Venue. In such circumstances, Section 7.5 governs your rights with respect to registration fees.
25.Governing Law and Dispute Resolution
25.1.These Terms and any dispute arising out of or relating to these Terms or the Event are governed by the laws of the State of California, without regard to its conflict of laws principles. The United Nations Convention on Contracts for the International Sale of Goods does not apply.
25.2.You and we submit to the exclusive jurisdiction of the state and federal courts located in San Francisco County, California for the resolution of any dispute arising out of or relating to these Terms or the Event, and you waive any objection to venue or forum non conveniens in those courts.
25.3.To the fullest extent permitted by applicable law, each of you and we waives any right to a trial by jury in any action arising out of or relating to these Terms or the Event.
25.4.Any claim arising out of or relating to these Terms or the Event must be brought within one (1) year after the claim accrues, or the shortest period permitted by applicable law if longer, or it is permanently barred.
26.Changes to These Terms
We may change, amend, add to, or remove any of these Terms at any time in our sole discretion. Changes are effective when posted at vapicon.ai unless we state otherwise. Your continued registration for or attendance at the Event following a change constitutes acceptance of the change. Please review these Terms before the Event. If a change is material and adverse to you and is made after you register, and you notify us in writing within ten (10) days after the change is posted that you do not accept it, we will refund the registration fee actually paid to us and cancel your registration.
27.General
27.1. Severability. If any provision of these Terms is held invalid or unenforceable, that provision will be enforced to the maximum extent permissible and the remaining provisions will remain in full force and effect.
27.2. No waiver. Our failure to enforce any provision of these Terms is not a waiver of that provision or of any other provision.
27.3. Assignment. You may not assign or transfer these Terms or your registration except as expressly permitted in Section 7.2. We may assign these Terms without restriction.
27.4. Third party beneficiaries. Each Event Party is an intended third party beneficiary of these Terms as described in Section 2.3. There are no other third party beneficiaries.
27.5. Entire agreement. These Terms, together with the VapiCon 2026 Privacy Policy and any official rules or separate written agreement referenced in these Terms, are the entire agreement between you and us regarding the Event and supersede all prior or contemporaneous understandings on that subject.
27.6. Notices. We may provide notices to you by email to the address associated with your registration or by posting on the Event website. You may provide notices to us at legal@vapi.ai.
27.7. Independent views. The views expressed by any attendee, speaker, exhibitor, or sponsor are not necessarily ours. All attendees, speakers, exhibitors, and sponsors are solely responsible for the content of their own presentations, marketing collateral, and advertising.
27.8. Survival. Sections 2.3, 5, 7, 9.4, 9.7, 10.4, 12, 13, 14, 15.1, 17.2, 18, 19, 20, 21, 22, 23, 25, and 27 survive the conclusion of the Event and any termination of your registration.

Annex A
Registration Acknowledgment Language
Terms, Code of Conduct, and Privacy. I have read and agree to the VapiCon 2026 Terms and Conditions, which include the VapiCon 2026 Code of Conduct, and I have read the VapiCon 2026 Privacy Policy. I understand that my registration is subject to these policies, including the provisions on registration, transfers, refunds, and attendee conduct.
All sales final. I understand that all VapiCon ticket sales are final and that no refunds will be issued for any reason, including scheduling conflicts, travel disruptions, illness, weather, visa denial, or failure to attend. I understand that I may transfer my ticket to another individual at no cost if the transfer is submitted and approved at least 48 hours before the start of the conference.
Program changes. I understand that the conference schedule, speakers, sessions, venue, format, and other event details may change without prior notice, and that the organizers reserve the right to modify the program, relocate, postpone, or cancel the event.
Recording, photography, and voice capture. I understand that photographs, video, and audio recordings will be taken during the conference, and that VapiCon includes live voice AI demonstrations in which my speech may be recorded, transcribed, and processed. By attending and by interacting with any voice demonstration, I consent to that capture and grant the organizers permission to use my name, image, voice, and likeness in photographs, recordings, and other media for educational, promotional, community, and marketing purposes without compensation. I may request an opt-out lanyard at the registration desk, and I understand that opt-out cannot be guaranteed for incidental crowd or background capture or for capture by third parties.
5.Assumption of risk and release. I acknowledge that participation in the conference involves ordinary risks associated with travel and attendance at a public event. To the fullest extent permitted by California law, I assume those risks and release the conference organizers, producer, sponsors, venue, and their respective officers, directors, employees, volunteers, contractors, and agents from liability for claims arising out of my participation, except to the extent caused by their gross negligence, willful misconduct, or other liability that cannot be waived under applicable law.
6.Age. I certify that I am at least 18 years of age.
7.Optional. Sponsor communications. I would like VapiCon sponsors to contact me about their products and services. I understand that I can also choose to share my information with individual sponsors on site by having my badge scanned, and that sponsors use information they collect under their own privacy policies.
